Sharing Projects & Locations

Overview

Users only see data that has been explicitly shared with them. You can share at the Project level (access to all locations in that project) or at the individual Location level.

ℹ️ Mobile sharing rules: Sharing applies equally to portal and mobile users. Mobile-Only users see only projects and locations explicitly shared with them. Soarvo Mobile App Overview covers the mobile flow.

How do I share a project with someone?

Click the menu on the project card → Share. Pick the user(s) from the list and assign a permission level. Save. They get access immediately at the role's permission scope.

How do I share with a whole department?

Soarvo shares per-user, not per-group. For a department, add each member to the share dialog in one go. If you frequently share with the same group, consider keeping a saved user list outside Soarvo for quick reference.

How do I revoke someone's access to a project?

Open the project's share dialog (⋮ → Share), find the user, and remove them. Their access is revoked immediately. Their previously captured features and uploads stay in the project.

How do I share just one location without the whole project?

Go to the Location card (not the project card) and use its Share menu. The user gets access to only that location, not its sibling locations or the wider project.

I shared a project but the user can't see it — why?

Check their account status in User Management. If it says UNCONFIRMED, they haven't activated their account yet — they need to click the link in their invitation email and set a password before sharing takes effect.

Do Project Managers need explicit sharing?

No — Administrators and Project Managers automatically see every project in the tenant. The share mechanism applies to Project Supervisors, Editors, Viewers, and Mobile roles.

Before Sharing

The user must have a Confirmed account. See Inviting Users if their status is still Unconfirmed.


How to Share a Project

  1. On the home screen, click the ⋮ (three dots) menu on the project card.
  2. Select Share.
  3. Search for and select the confirmed user.
  4. Confirm the share.

The user immediately gains access to the project and all its locations at their assigned role level.

How to Share a Location

The process is identical — click on the location card instead of the project card, then select Share.

💡 Tip: Share at the location level when you want to give a user access to only one specific site rather than an entire project.

Removing Access

  1. Open the sharing panel (⋮ → Share) on the project or location.
  2. Find the user in the shared users list.
  3. Click the remove or × icon next to their name.

Access is revoked immediately. Any data the user created remains in the project.
